Group Administrative Assistant, MLOA, a Zillow Group Company

Zillow Group recently expanded into home loans with the acquisition of Mortgage Lenders of America (MLOA). We are building our team in Kansas City and we are adding a Group Administrative Assistant to support our VP/GM of MLOA. Are you a confident, organized self-starter with a high level of integrity? About the role

An ideal individual in this role has the capability to multitask, makes sound and timely decisions with limited mentorship, has strong attention to detail, and reacts with appropriate levels of urgency to situations and events that require quick response or turnaround. He or she is highly self-motivated with a strong sense of initiative and possesses the knowledge to anticipate needs and be a driving strength in keeping the teams organized.

Responsibilities include:

  • Runs multiple executive schedules/extensive calendaring.
  • Effectively prioritize numerous requests and incoming information, ensuring appropriate level of ownership to each.
  • Assists in meeting planning and any preparation work needed, i.e., drafting agendas and broader communication.
  • Maintains contacts for executives.
  • Prepares and submits expense reports.
  • Coordinates details of major departmental meetings and/or events; team and morale event planning.
  • Miscellaneous responsibilities such as ordering and setting up food and beverages for larger group/team meetings.
  • Manages relationships and communications across all departments.
  • Handle communications, agenda planning, logistics, meeting facilitation, and follow-up for meetings.
  • Provides detailed data, information and resources in preparation for meetings.
Who You Are

The ideal person also has excellent communication and the ability to switch gears at a moment’s notice. A high level of integrity and discretion in handling confidential information is needed and a high degree of integrity in looking after senior professionals inside and outside the company is required.


  • 3 - 5 years of experience supporting executives, preferably multiple executives at once, in a high tech and/or start-up environment.
  • Ability to exercise quick and accurate discernment and maintain confidentiality of corporate and personal information.
  • An effective and dedicated problem-solver, analyzing all situations deeply in order to anticipate problems before they arise.
  • Experience working independently, set priorities, and work under pressure to meet changing deadlines. Doesn't mind last minute changes and can respond to needs quickly without getting frazzled.
  • Detail oriented and excellent organization skills.
  • Excellent interpersonal skills, easy going attitude, and ability to work well with different personalities.
  • Bachelor's Degree Preferred.
